Medicals Updates - Overview
The previous version of the Medicals feature had several issues which we wanted to rectify:
- Lengthy medical assessment form with all mandatory fields, made it very time consuming to add a medical to EDS.
- No easy access for Managers and Assessors to get information required, such as Medical Restrictions, Vision, or Hearing Aid requirements.
- No easy way to keep track of medical expiry for your team.
- No tracking of medical reviews.
- Hard-coded medical timeframe rules.
The new version is more streamlined, and makes the relevant information more available to those who need it.
Medicals Updates - Medical Timeframes
We have introduced a new Admin Management page, for users with a System Role of "TOC Admin" or "Occupational Health", to be able to manage the available list of Medical Timeframes, and their rules for Medical Expiry calculations.
From this page, you can:
- Enable or disable existing Medical Timeframes by clicking the toggle in the table
- Edit an existing Medical Timeframe by clicking the Timeframe Name in the table
- Add a new Timeframe by clicking the button in the top right-hand corner of the page
Adding and editing Medical Timeframes use the same underlying process. You can add multiple rules to the Timeframe for the various age ranges, and set a number of years for the expiry of each range. This will allow you to ensure that medical expiry dates are calculated automatically as per the rules you specify, in case you have any bespoke rules for your company, or if the RIS relating to medical expiry changes again.
Any changes you make to the rules of an existing Medical Timeframe, will update all Medicals which currently use this Timeframe, updating the Expiry Dates where necessary.
Medicals Updates - Medical History Page
What used to be called the Medical Details page on an employee's profile, has been updated to be called the Medical History page. The new Medical History page provides a better summary of details for the employee than the old version, as you can now easily see the following details:
- Visual Aid Requirement
- Hearing Aid Requirement
- Current Medical Status
- Current Medical Restrictions
- Date of the next required periodic medical
- Dates of any medical reviews
If you are the employee's Line Manager, or your System Role is "Occupational Health", then you will see the editable version of the employee's Medical History page. Otherwise, you will see a read-only version of the page.
Medicals Updates - Add New Medical
The new Medical assessment form is far more simple than its predecessor. You now only have a handful of mandatory fields to fill out, and the form will automatically fill several fields based on the employee's current selections, such as the Visual Aid, Hearing Aid, Colour Vision Deficiency, and Personal Risk Assessment Required.
Medicals Updates - Review Process
When adding a medical into EDS, you may want to add a review, for example, if the employee is deemed temporarily unfit, or is given some temporary restriction for work. Adding a review to a medical will act as a reminder for you to check in with the employee, and opens up the review process within the medical.
Clicking the Medical Type link in the Medical History page table will open the medical to view. On this page, for a medical which has a review required, you will see a 'Review Medical' button. Clicking this button will allow you to undertake a review, and state whether or not a follow-up review is required.
Medicals Updates - Employee Profile
We have made a couple of tweaks to the Employee Profile page as part of the Medicals feature update:
- If the employee has any Visual Aid or Hearing Aid Requirement, then icons will be displayed to signify these requirements. Hovering over these icons will display a tooltip to give the detail of the requirement.
- The Medical Status tile is now read-only, meaning that the only way to update an employee's Medical Status will be via a new Medical Assessment.
Medicals Updates - Dashboard
The Dashboard now includes a set of statistics for Medicals. This will also be the first introduction of a Dashboard for users with the "Occupational Health" System Role, who will be able to see all users in the company, regardless of Departmental Access, or Team Ownership.
The Dashboard statistics will work in a similar way to your existing Dashboard statistics for things like Assessments and Support Plan Interactions. You will be able to view the statistics for your selected Team, and can click the tiles to see the users and details behind the statistics.
So as to allow you to keep track of any medical reviews you have set-up on your medicals, these Dashboard statistics will track the review date of a medical, up to the point at which you mark the review as complete.
Medicals Updates - Medical Import
If you haven't previously used the Medicals feature in EDS, but would like to get started, this could involve inputting a lot of information to get all your users up to date.
We have now included Medicals in our data import sheet, meaning that you can fill out all the required details in excel, for one of our team to upload it into the system, saving you countless hours of admin, and potential inaccuracies.

Bug Fixes
Bug: Practical Assessment Time icon hidden on Assessment Summary page.
Fix: This has been fixed
Bug: Zendesk Ref: 121490 - EDS Medical Status Change - non-OH users are able to change medical status.
Fix: As per the updated version of Medicals, the Medical Status tile on the employee profile is now read-only, and the only way to update the Medical Status for an employee is via a Medical Assessment.
Bug: Zendesk Ref: 134384 - Download Errored on iOS sync, leading to assessors not able to access the iOS app.
Fix: This seemed to be due to a timeout of the sync, so we have improved the performance to rectify the issue.
